Create, modify and cancel appointments

Create an appointment

Go to Medical Center › Schedule.

Select a white cell (available time slot) or click the blue "Add" button.

Choose Create appointment.

Fill in the patient's data, appointment type, duration and email address.

If applicable, enable the "Repeat appointment" option.

Click Save.

The appointment is immediately recorded in the schedule. If the patient's email is entered, the system sends automatic confirmation and reminder emails.

Modify an appointment

Click on the existing appointment in the schedule.

The side panel will open with the appointment details.

Click the pencil icon and edit the fields you need (status, appointment data).

Click Save.

From the appointment panel you can update the status (Pending, In waiting room, In consultation, Done, Cancelled, No-show), maintaining a complete change history.

Cancel an appointment

Click on the appointment in the schedule.

Click the pencil icon and change the status to Cancelled.

The appointment is not deleted — it remains recorded as cancelled, keeping a full history for no-show analysis. You can choose to hide cancelled appointments from the view.

Configure appointment types

Go to Medical Center › Appointment types.

Click Add.

Fill in: name, approximate duration, color identifier and visibility in HCConnect.

Click Save.

Appointment types standardize the medical center's schedule, prevent overlaps and improve visual organization.

Profile › Appointment settings

Configure professional availability hours

Go to Profile › Appointment settings.

In the Availability hours section, select the assigned office.

Click the pencil icon.

Select the available days and hours.

Enable Publish and save the changes.

This configuration defines the professional's real availability and is reflected in both the internal schedule and online booking if enabled.

Block schedule for vacations or events

Block unavailable days or hours

Go to Profile › Appointment settings.

Navigate to Unavailable days.

Click Add block.

Enter the reason, dates and time range for the block.

Blocks prevent appointments from being assigned during vacations, meetings or special events, keeping the schedule orderly and realistic.

Best practices to reduce no-shows

Recommended practices

  • Always record the patient's email address when creating the appointment to activate automatic reminders.
  • Precisely define the duration of each appointment type to avoid accumulated delays.
  • Use appointment statuses (Cancelled, No-show) to maintain a historical record of absences.
  • Block unavailable days in advance to avoid last-minute rescheduling.
